Terms and Conditions

M/s. Holiday Links lays down the following Terms & Conditions for the kind notice of all esteemed patrons, educational institutions, participants, and accompanying staff. These terms shall apply to educational tours, domestic tours, and international tours organized or facilitated by Holiday Links.

1. Scope of Services

Holiday Links acts as a tour organizer and facilitator, arranging travel, accommodation, transportation, and other related services for groups and individuals, including school and college students, faculty members, and other authorized participants.


2. Enquiries & Bookings

  • All enquiries, bookings, payments, and correspondence shall be routed only through the Head of the Institution / Authorized Representative / Principal.
  • Holiday Links will not entertain any booking, modification, or refund requests directly from students or parents for educational tours.

3. Admission & Eligibility

  • The right of admission to any tour is strictly reserved by the Organizers.
  • For Indian (Domestic) Educational Tours, only bonafide students and officially authorized teachers/staff are permitted.
  • Parents, relatives, ex-students, infants, or unauthorized persons are not allowed on domestic educational tours.
  • For International Tours, parents and relatives may be permitted subject to prior approval and applicable tour policies.

4. Identity & Travel Documents

  • All participants must carry a valid Identity Card duly certified by the Head of the Institution during the entire tour.
  • For international tours, participants must possess valid passports, visas, and other required travel documents. Holiday Links shall not be responsible for denial of travel due to improper or incomplete documentation.

5. Accommodation

  • Accommodation will be provided at destination locations only, with standard amenities as per availability.
  • Room sharing is generally on a multiple-occupancy basis (e.g., 3–4 students per room).
  • Towels, toiletries, and personal-use items are not included, unless specifically mentioned in the tour itinerary.

6. Registration

  • Registration forms will be issued free of cost for specific tours.
  • Duly completed registration forms must be signed by the student/parent and countersigned by the Head of the Institution, and submitted along with the non-refundable advance payment.

7. Tour Confirmation & Advance Payment

  • Tour confirmation is subject to receipt of the prescribed non-refundable advance, as follows:
    • Mini Tour: ₹1,000 per participant
    • Standard Tour: ₹2,000 per participant
    • Domestic Long Tour / Premium Tour: ₹5,000 per participant
    • International Tour: ₹10,000 per participant
  • Advances must be paid at least 65 days prior to the scheduled departure.
  • For international tours, installment payments must be made as per the payment schedule communicated separately.
  • The entire balance amount must be paid at least 28 days before departure.

8. Mode of Payment

Payments are accepted only through:

  • Cash
  • Local crossed cheque (in favor of Holiday Links)
  • Demand Draft / Pay Order
  • Approved bank transfer modes

9. Cancellation Policy (Individual / Group – Domestic & International)

  • The registration / advance amount is strictly non-refundable.
  • In addition, the following cancellation charges shall apply on the total tour cost per participant:
    • 25% cancellation – 60 days prior to departure
    • 50% cancellation – 35 days prior to departure
    • 75% cancellation – 20 days prior to departure
    • 100% cancellation – Less than 15 days prior to departure

10. Postponement

  • In case the entire group postpones the tour, a postponement charge of 25% of the total tour cost per participant shall be levied, irrespective of the reason.

11. Check-in / Check-out

  • Participants must strictly adhere to the check-in and check-out timings of hotels.
  • Holiday Links shall not be responsible for inconvenience caused due to early arrival or late departure.
  • Participants are responsible for the safety of their belongings before check-in and after check-out.

12. Valuables & Personal Belongings

  • Participants are advised not to carry excessive cash or valuables.
  • Holiday Links shall not be responsible for loss, theft, or damage to personal belongings during the tour.

13. Damages & Misconduct

  • Any damage caused to hotel property, transport, or public property by participants shall be borne by the individual or institution concerned.
  • Damages noticed must be reported immediately to the tour manager or hotel authorities.

14. Emergencies & Force Majeure

  • The Organizers reserve the right to recover any additional expenses arising due to unforeseen circumstances such as delays, cancellations, breakdowns, natural calamities, weather conditions, strikes, riots, pandemics, quarantine regulations, or any other events beyond their control.

15. Responsibility & Liability

  • Holiday Links acts only as an agent and coordinator for various service providers.
  • The Organizers shall not be liable for any delay, alteration, breakdown, or irregularity caused by third-party service providers.
  • Participants are responsible for their own conduct and safety throughout the tour.

16. Code of Conduct

  • Consumption of alcohol, smoking, drugs, gambling, or any form of indiscipline is strictly prohibited, especially during educational tours.
  • Any violation may result in immediate removal from the tour at the participant’s own cost and risk.

17. Acceptance of Terms

Participation in any tour organized by Holiday Links implies full acceptance of the above Terms & Conditions by the participant, parent/guardian, and the institution.
